Finance Meetings  

 

1. MISSION STATEMENT

To establish and/or improve channels of communications and relations amongst professional translators within the pharmaceutical industry through:

a) exchange of information between translators on the following topics:
- terminology
- documentation
- working methods
- human resources
- any subject pertinent to professional activities

b) formulation of recommendations in view of standardizing terminology particularly through a pharmaceutical publication

c) obtainment of information concerning standards which regulate information diffusion in the pharmaceutical industry and observance of such standards

d) promotion of high standards of quality in communications

e) provision of a consultative service to the parent body on linguistic related matters, if the need arises

f) observance of the professional and ethical standards applicable of RX&D

2. STRUCTURE

The Translation Group shall function as an affiliate association to RX&D.

It shall be headed by one President who shall maintain liaison with RX&D.

The President of the Translation Group shall be assisted in his or her functions by a Treasurer.

The President coordinates the activities of the following committees:
- Terminology committee
- Committee responsible for activities.

3. LIAISON WITH RX&D

A member of the RX&D shall act as a liaison with the Translation Group.

4. ELIGIBILITY

Membership in the Translation Group is open exclusively to the persons in charge of the translation department of member companies of RX&D or to a translator delegated by these persons.

An initial contribution of $250 is required from all member companies.

5. TERMS OF OFFICE

The President shall be elected for a term of two years or until his or her successor is elected at the next general meeting.

The Treasurer shall be elected for a term of two years or until his or her successor is elected at the next general meeting.

Members of the terminology and activity committees shall coordinate their activities and call upon their President if need arises. The delegates shall theoretically accept their responsibilities for a minimum of two years.

Where a vacancy occurs in the council between election periods, such vacancy shall be filled by a member of the Translation group chosen by the council. This member shall serve until the next general meeting.

6. VOTING

Each member company in good standing as a member of RX&D, and which is represented in the Translation Group, shall be entitled to one vote at all proceedings of the Translation Group.

Any vote shall be taken by a show of hands or by ballot, at the discretion of the President of the meeting concerned.

Votes by proxy shall be allowed.

Forty percent plus one of the voting members of the Translation Group shall constitute a quorum at the general meeting.

A quorum is not required at regional meetings. However, if the number of voting members attending a regional meeting is not sufficiently representative of the group, no decision may be taken at that meeting but is to be postponed until the next meeting.

7. FINANCE

The Translation Group is self-supporting through monies raised at its general, other meetings, education seminars, and special activities. A statement of revenue, expenditures and surplus for the preceding fiscal year is presented annually to the members.

The Fiscal year of the Translation Group will run from April 1st to March 31st of each year.

Cheques shall be signed by the Treasurer and another member of the Translation Group. These individuals must be employed by two different companies.

8. MEETINGS

The general meeting of the Translation Group shall take place in June of each year. This meeting shall be open to the RX&D liaison. Elections to the Group's committees shall be held every two years at the annual general meeting.

The general meeting will be held on an alternate basis, between Ontario and Quebec, at such locations as the Translation Group may determine.
